Edit a Booking

Step by step process for editing bookings

To view or edit a booking

(a) click on the Booking from the Availability Calendar

(b) click on the Booking from Booking List (Front Deck -> Bookings)

(c) Enter the Booking reference in the 'Quick Find' search field in the top navigation at the top of the page.

A new Booking window will appear when any of the three options are used to create a booking. Here you will see the following tabs:

Details

Here you need to enter the following information:

  • Guest: If you want to find an existing guest, enter their name in the search box. If you want to create a new guest, click on the "Create Guest". If you want to delete it, click the X next to their name.

  • Additional guests: You can add other guests related to this booking. Look for an existing client or create a new one. Follow the same steps you took to create the main guest.

  • Status: Select one of the following status categories:

     1. Arrival: if the guest has confirmed the booking and you are awaiting their arrival.

     2. Checked in: if the guest already registered (he checked in).

     3. Checked out: if the guest already left (he checked out).

     4. Cancelled: if the guest made the booking, but then canceled.

     5. Blocked out: if you want the room not to be available to be booked.

    6. Requested: if the guest has not confirmed the booking.

  • Booking source: select the place where the booking comes from.

  • Payment due: Select the time when the payment must be made:

  1. Check out: the payment will be made when they check out.

  2. Check in: the payment will be made when they check in.

  3. Not required: no payment is required.

  4. Ongoing: the payment will be made in an indeterminate term.

  • Tax: Choose which taxes are applied to this booking.

  • Coupon: If you have a valid coupon for this reservation, you can write it here.

Be sure to click "Save" before adding other details to the reservation.

Sales

Here you can add any sale of products or services to the booking. For example, if the customer requests an extra bed or a bottle of wine. You have 2 options:

  1. Add Item: to find an existing item. You just have to write the number of units.

  2. Add Custom Item: to create a new item that is not on your list.

When you're done, click "Save".

Payment

Here you can manage the payments of the booking: add payments and create receipts. You also have the option to change nightly rates if there is any error or if you want to give a discount to your host.

  • Add Payment: here you can add the payment the guest has done. You can also add a note for this payment. Advanced options at the bottom will allow you to add the necessary information to issue a receipt. If the client is going to pay when he checks out, you can leave this field in blank. Click on the button "Pay" and that's it.

  • Create Invoice: here you can create a receipt with all the details for this booking: accommodation, products, services, and payment. You can always come back here if you need an invoice for later. Here you have three options:

  • Print: to print this receipt.

  • PDF: to display this receipt in PDF.

  • Email guest: to write the guest email and send this receipt.

  • Edit night rates: here you can change the nightly rates if you want. Be sure to save all changes.

Once the payment has been made, it will appear with all the information you have entered. You can make changes by clicking on "Edit", see the receipt of the payment or make a refund.

To remove a payment that you entered, click on "Edit" and "Delete".

Activities

Here you can see all the activity related to this booking, including the creation of the booking, updates, payments, and sales. Here you cannot manually enter information since it only reflects the activities automatically created.

Tasks

Here you can see all the tasks related to this booking. You can also add more tasks by clicking on the button "+" and mark the tasks as completed.

Finally, don't forget to click on "Save" or "Email guest," if you want to send a confirmation email.
